Overview

Ice Slice (“we”, “us”, or “our”) operates iceslice.ca, a scheduling and management platform for Canadian hockey associations. This Privacy Policy explains how we collect, use, and protect your personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Canadian privacy law.

By using Ice Slice, you consent to the practices described in this policy.

Information We Collect

Account Information

When you register, we collect your name, email address, and association name. Administrators may create additional user accounts, providing names and email addresses for those users.

Schedule and Operational Data

We store the data you enter to use the service: arena names and locations, team rosters, ice contracts, generated schedules, tournament brackets, and standings. This data belongs to your association and is used solely to provide the service.

Payment Information

Payments are processed by Stripe. We do not store or see your credit card number, expiry date, or CVV. We retain the transaction amount, the purchaser's name and email address, and a Stripe transaction reference for our records.

Usage Data

Our hosting infrastructure (Vercel) may collect standard server logs including IP addresses, browser type, and pages visited. We do not use analytics tracking or advertising cookies.

How We Use Your Information

  • To provide, operate, and maintain the Ice Slice service
  • To send transactional emails (license keys, welcome emails, schedule distributions) on behalf of your association
  • To respond to support requests
  • To process payments and issue license keys

We do not sell, rent, or share your personal information with third parties for marketing purposes. We do not send unsolicited marketing emails.

Third-Party Service Providers

We use the following sub-processors to deliver the service. Each is bound by their own privacy and security commitments:

  • Stripe (payments) — processes payment card transactions. Stripe is PCI-DSS certified. stripe.com/privacy
  • Resend (transactional email) — delivers emails sent by the platform (license keys, welcome emails, schedule distributions). resend.com/privacy
  • Neon (database) — stores all application data in a PostgreSQL database hosted in the United States. neon.tech/privacy
  • Vercel (hosting) — hosts the application and may log standard server request data. vercel.com/legal/privacy-policy
  • Anthropic (AI permit import) — when you use the AI-assisted permit import feature, the document you upload is sent to Anthropic's API for analysis. Anthropic's data handling policies apply. anthropic.com/privacy

Data Retention

We retain your data for as long as your account is active. If you cancel or do not renew your license, your association's data remains accessible until you request deletion. Upon written request, we will delete your account and all associated data within 30 days, except where retention is required by law.

Security

We use industry-standard security measures: HTTPS encryption in transit, hashed passwords (bcrypt), and encrypted storage of sensitive credentials. We do not store payment card data. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Your Rights Under PIPEDA

As a Canadian resident, you have the right to:

  • Know what personal information we hold about you
  • Request a copy of your personal information
  • Request correction of inaccurate information
  • Request deletion of your personal information
  • Withdraw consent, subject to legal or contractual obligations

Children's Privacy

Ice Slice is designed for use by hockey association administrators, not directly by minors. We do not knowingly collect personal information from children under 13. Associations may enter player or team data as part of their scheduling operations; this data is provided by and remains the responsibility of the association administrator.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated by updating the “Last updated” date above and, where appropriate, by email. Continued use of Ice Slice after changes constitutes acceptance of the updated policy.
